Your Ghostwriting Business: Customer Service

You might think that just because you don’t own a retail business, customer service is not an issue. However, customer service is just as important to your ghostwriting business as it is to a pawn shop or a cable company. Customer service should be forefront in your mind every time you pick up the phone or shoot off an e-mail.

Customer service starts with your telephone. Just because most of your business is conducted online does not mean that your telephone doesn’t matter. My clients call at all times of the day, sometimes with questions and sometimes with referrals.

For that reason, you should have a line dedicated to your ghostwriting business. Make sure that you have an answering machine or voice mail that records a polite message for all of your clients. On your message, tell the caller that they have reached your business and say when you will be getting back to them. As an added bonus, you can also instruct them to visit your website in the interim.

When you answer the phone, do it exactly as you would if you worked for another company. For example, I answer the phone, “Thank you for calling Laura College Ghostwriting Services. How can I help you?” This tells the caller that you are professional and friendly.

Next, let’s talk about your e-mail. Every e-mail that you send out should have a signature at the bottom with the name of your company as well as a full list of contact information. List your name, the name of your business, your website address, your e-mail address, your phone number and your fax number. You can also get creative and include your logo or a picture of yourself. This lends personality to your e-mail signature.

And lastly, try adding touches of customer service to your everyday life. For example, write a Thank-You note to all customers once you are finished with the work, letting them know that you appreciate their business and also that you appreciate referrals. I always send five or six business cards in my thank-you notes, in hopes that they will pass them around.

Customer service should become old habit for you in no time.
